The following protocol guidelines and templates have been created to assist you with planning your event.

Special Events and Protocol is your resource for answering questions regarding the proper forms of address for dignitaries/VIPs. We’ve listed a few of the most common questions here. For more information, email Patricia Lippert, Special Events and Protocol.


The UCLA Medal
The UCLA Medal was created to honor those individuals who have made extraordinary and distinguished contributions to their professions, to higher education, to our society, and to the people of UCLA. It is UCLA’s highest honor. This link provides information on the history, the nomination process and past recipients of the medal. Dignitary Visits to Campus: Protocol and Notification Procedures
External Affairs has been designated as the central campus resource for issues of protocol and assistance in connection with campus visits of state, national and international dignitaries.  These guidelines have been developed to ensure that the event will be well coordinated throughout the university. Chancellor’s Invitation Style Guide
This style guide applies to events held at the UCLA Chancellor’s Residence and to campus-wide events honoring a noted dignitary. The protocol information may be used as a guideline for any invitation with the Chancellor, his wife, or the Executive Vice Chancellor's name on it.


UCLA Graphic Identity Program
This site introduces UCLA's new logo and graphic identity system. The Graphic Standards Manual has detailed guidelines for use of the UCLA logo, signature and colors. Using a standard UCLA logo and color will enhance the association of UCLA with world-class quality through visual repetition, and thus help demonstrate the quality and breadth of the academic enterprise.

Chancellor’s Attendance Request Form and Guidelines
(For UCLA External Affairs Department Use)
This form should be completed to request the participation of the Chancellor, his wife or the Executive Vice Chancellor at your External Affairs event.


Athletics Attendance Request Form
(For UCLA External Affairs Department Use)
This form should be completed to request the participation of Athletic Director Daniel Guerrero, Head Football Coach Rick Neuheisel and Head Basketball Coach Ben Howland. These requests are coordinated through the Vice Chancellor’s Office for all External Affairs events, meetings and other activities.


Event-Related Printed Materials Review Process
(For UCLA External Affairs Department Use)
All External Affairs event-related printed material that includes the name of the Chancellor, his wife, and/or the Executive Vice Chancellor requires their approval prior to publication or distribution. This document reviews the process and timeline.


Briefing Materials Template
(For UCLA External Affairs Department Use)
The sponsoring unit is responsible for preparing briefing materials for their events and meetings attended by the Chancellor, his wife and/or the Executive Vice Chancellor. Briefing materials should include a cover memo and event details such as time, date, location, purpose, the program or agenda, key participates and guests, bios, and contact information.


Remarks Template
(For UCLA External Affairs Department Use)
Preparation of major speeches and remarks for the Chancellor, his wife, and/or the Executive Vice Chancellor is the responsibility of the Executive Communications. Once you have received confirmation that any of these campus leaders will be participating in your event, this form should be completed.
